Role Overview
As our Integrator/Online Business Manager, you will be the operational backbone of our organization, working directly with Dr. Sam to translate his vision into executable plans and ensuring the business runs smoothly. You'll serve as the crucial link between leadership and the team, removing obstacles, maintaining accountability, and driving project execution. This role requires someone who thrives in a dynamic environment, has experience scaling online businesses, and can maintain systems while nurturing team culture.
Key ResponsibilitiesLead, Manage, Accountability (LMA)
- Lead and structure weekly team meetings, ensuring everyone is clear on priorities and deadlines
- Conduct regular 1:1 meetings with team members to provide support and maintain alignment
- Act as the communication bridge between the CEO and the rest of the team
- Implement and champion the Traction EOS (Entrepreneurial Operating System) methodology to establish clear vision, execution, and accountability throughout the organization
- Drive quarterly planning processes and break down company goals into manageable, measurable tasks
- Create and maintain a culture of accountability, ensuring deadlines are met and quality standards upheld
- Provide recognition, resolve tension, and maintain high team morale
- Maintain and manage all outside vendor relationships
- Track, update, and manage the weekly scorecard to help provide visibility into the business's health
Remove Obstacles & Barriers
- Identify operational bottlenecks and implement solutions to improve workflow efficiency
- Help prioritize tasks and resources to focus on high-impact activities
- Translate complex directives from leadership into clear, actionable steps for the team
- Filter non-essential questions and requests to reduce distractions for the CEO
- Proactively address issues before they impact business performance or team dynamics
Project Management & Execution
- Manage project workflows in Asana, ensuring clear task ownership, timelines, and deliverables
- Track and update progress across initiatives while adapting to unexpected pivots
- Coordinate with vendors (like Entreteam and Fitgenes) to ensure deliverables match internal planning
- Maintain consistency and accountability across all collaborators and partners
- Create, refine, and implement standard operating procedures (SOPs) for repeatable processes
- Manage regular reporting and metrics tracking to measure business performance
Technology Handling
- Oversee the technology ecosystem, ensuring all systems are properly integrated
- Optimize processes within Go High Level, including automations and client journey flows
- Train team members on technology tools and systems as needed
- Maintain structure and consistency in Google Drive and other documentation systems
- Troubleshoot issues between systems and vendors
- Identify opportunities for technology improvements to enhance efficiency
Business Operations Mastery
- Demonstrate a comprehensive understanding of core business functions and how they interconnect
- Align sales processes with marketing initiatives to create a cohesive customer acquisition strategy
- Interpret KPIs and translate them into operational adjustments
- Recognize and address operational inefficiencies that impact profit margins
- Bridge communication gaps between specialized teams (sales, marketing, operations, finance)
- Implement systems that create visibility across departments
- Balance resource allocation to maintain business health while supporting growth initiatives
- Identify key performance indicators for each business function and track progress
- Understand the customer journey from acquisition through retention and optimize each touchpoint
- Support the CEO in strategic decision-making with cross-functional business insights
QualificationsRequired
- 3+ years of experience in online business management or similar operational leadership roles
- Strong project management skills with proficiency in Asana or similar tools
- Experience managing remote teams and fostering positive team culture
- Exceptional communication and interpersonal skills
- Ability to translate vision into actionable plans and execute with minimal supervision
- Proficiency with business technology tools, including Google Workspace, Asana, Slack, and CRM systems
- Experience with online marketing funnels and customer journey optimization
- Strong problem-solving abilities and attention to detail
- Self-motivated with excellent time management skills
- Commitment to personal growth and wellness aligns with company values
Preferred
- Experience in the health, wellness, or functional medicine industry
- Knowledge of Practice Better or similar client management platforms
- Background in process improvement and systems optimization
- Experience with Go High Level or similar marketing automation platforms
- Experience in online course delivery and group coaching programs
Contractor Compensation
- $60 - $80 / hour (based on experience and qualifications)
- 10-15 hours per week
- Remote position with flexible working hours
