Executive Assistant, US Forestry

Full-Time, Salaried-Exempt

We are looking for someone who has all the executive and office administration basics down and is energized by enhancing efficiencies and effectiveness for the Division Leadership Team to enhance Port Blakely’s reputation in a values-driven, people-centered, entrepreneurial organization. You will play an essential role in supporting the company’s business goals through executive and administrative support including calendar management & scheduling, event planning, forest tour coordination, team communications, presentation & deliverables creation, and office management. You will work in partnership with our US Forestry President, US Forestry Leadership Team, and other Executive Assistants throughout the organization. As part of our Tumwater-based team, you will report to the US Forestry President. This role will primarily work out of our Tumwater, Washington office, with some potential for a future hybrid work schedule after initial time in role.

What you’ll do:

  • Provide executive administrative support to the Division President and USF Leadership team, managing day-to-day workflow and anticipating needs including proactive calendar management, scheduling, and project support.
  • Draft and prepare documents, exhibits, presentation slides and other materials for quarterly committee and board meetings with ability to create graphs, charts, and visual aids.
  • Coordinate agendas, pre-meeting reminders, deliverables, taking minutes, and distributing action items for weekly leadership tactical and strategy meetings
  • Schedule and arrange meetings and field tours, including any onsite and offsite logistics to include venues, catering, special equipment, transportation, and materials.
  • Assist with travel arrangement and prepare expense reports and credit card reconciliations for the US Forestry leadership team.
  • Partner with other Executive Assistant(s) for planning and execution of the Annual Unitholder Meeting (AUM) and other company-wide meetings and events.
  • Serve as the Tumwater office administrator greeting and directing guests, managing the general office phone and email messages, maintaining office inventory & field supplies, and serving as the main point of contact for building services and security.
  • Liaise with the US Forestry Safety Coordinator in supporting safety meetings and maintaining a safe working office environment.

  • Bachelor’s Degree and/or 5+ years of progressive experience in high level administrative support to executive leaders, or equivalent combination of education and experience.
  • Proven success in project management and event planning & execution.
  • Ability to communicate with employees at all levels, including executive leadership, and provide exceptional customer service in response to employee and office guest requests.
  • Experience managing vendor and contractor relationships.
  • Ability to diagnose problems using strategic thinking skills and identify and drive appropriate solutions.
  • Comfort operating with ambiguity, accepting frequent change, while being highly organized and showing attention to details.
  • Experience maintaining a professional demeanor and a high level of confidentiality.
  • Ability to work and operate independently, using sound judgement to make decisions, while juggling multiple competing tasks and demands
  • High proficiency in Microsoft Office Suite with elevated emphasis on Outlook, Teams, Word, SharePoint, and PowerPoint
  • Interest in knowing the business, working collaboratively and being willing to pitch in as needed
  • Experience working in small/mid-size organization preferred
  • Experience in forestry or natural resources industries and/or a family-owned company beneficial
  • Strong interpersonal skills with an emphasis on understanding, communication, supporting company culture, and building team spirit.

Compensation:

  • Salary Range: Min $73,062 | Mid $88,405 | Max $103,748
  • Other compensation includes bonuses, profit-sharing, employer 401k match, or other forms of compensation offered to the hired applicant in addition to their established salary range or hourly pay wage scale.
