Job Description

The executive assistant will be responsible for managing the schedule and communications for the Owners of Plantation Management Company, LLC. This includes handling personal tasks such as scheduling appointments, travel arrangements, organizational functions and financial management. 

The qualified candidate’s attributes will include a high level of organizational skills. This detail – oriented, independent thinker, has the ability to be flexible with changes to scheduling and priorities, and the willingness and ability to go above and beyond to achieve goals and deadlines. The candidate will possess professional communication skills and maintain a professional appearance. Extreme punctuality and dependability are an absolute must. The ability to manage multiple tasks while effectively meeting tight deadlines is necessary.

Responsibilities

  • Manages, monitors and maintains daily/weekly/monthly schedule for owners
  • Coordinates frequent private and commercial travel arrangements
  • Coordinate special events and meetings
  • Provides communication and reminders as needed on all tasks and travel
  • Scheduling appointments, both internal and external
  • Responsible for expense reporting, including receipt collection, preparation and submission of expense reports, credit card reconciliations and banking reconciliations
  • Maintain insurance renewals
  • Ability to be on-call to Ownership 

Qualifications

  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Possess a high degree of professionalism
