Job Description

Position Overview: The Executive Administrative Assistant is responsible for supporting the Executive Director. The role involves coordinating resources and serving as a liaison to resolve member issues and implement solutions. It encompasses managing all facets of communication and marketing to members, including content management, internal and external communications, information dissemination, social media, advertising, press releases, and media requests. Additionally, the member services manager supports the executive director in achieving the company’s strategic goals.

ESSENTIAL FUNCTIONS and RESPONSIBILITIES

Member Services:

  • Creates and implements strategic communication plans to effectively achieve communication objectives.
  • Collaborates and participates to ensure successful Board Meetings, CRL Pool Board Governance Conferences, Member Board Meetings, and Committee Meetings.
  • Organizes member events, webinars and meetings to educate, and enhance member engagement and member satisfaction.
  • Develops and implements member retention strategies to ensure high service standards, monitors the results of the strategies and ensures ongoing success.
  • Facilitates in member escalations, inquiries, and coordination of services and vendors.
  • Creates, oversees, and schedules the onboarding process of new members and/or their staff members.
  • Contributes to the creation of teaching materials, handouts, news releases, pamphlets, and brochures.

Administration:

  • Leads the development of the annual reports.
  • Drafts board and committee meeting minutes.
  • Maintains the CRL annual calendar of activities including board agenda topics.
  • Adheres to internal polices and supports the organization in achieving goals.
  • Assists with general office administration as required.

Collaboration:

  • Partners with vendors in development of programs and resources that reflect the needs of members and CRL.
  • Works closely with cross-functional teams, including members, claim managers, underwriting, legal, actuarial, and finance.
  • Fosters strong relationships with external stakeholders.

Marketing:

  • Ensures communications are properly formatted, consistent and relevant.
  • Drafts and manages content for social media and the company website to ensure material is relevant and up to date.
  • Assists in the development, advertising, and marketing of projects and products across various media, including print and video.
  • Coordinates marketing efforts for programs at offsite events.

ADDITIONAL FUNCTIONS and RESPONSIBILITIES

  • Performs other duties as assigned.
  • Travel 20% or as required.

QUALIFICATIONS

Bachelor's degree from an accredited college or university is preferred. Property and Casualty license, Chartered Property Casualty Underwriting license, Associate in Reinsurance preferred.

Experience

3-5 years of property/casualty reinsurance and/or property/casualty insurance experience Preferred

Skills & Knowledge

  • Experience in web design and content production;
  • Experience in copywriting and editing.
  • Analytical and interpretive skills with strong attention to detail.
  • Excellent oral and written communication skills, including presentation skills.
  • Proficiency in working effectively in a team environment, when working independently and when working offsite or remotely.
  • PC literate, including Microsoft Office and other system products.
  • Excellent negotiation and communication abilities.
