Role Description

We are seeking a highly organized and versatile Administrative Coordinator (1099 Contract) to join our team full-time at our downtown La Mesa, CA office. The Client Services Coordinator - Site Acquisitions - Telecom Real Estate role involves assisting clients with their service needs, managing communications, providing exceptional customer service, handling administrative tasks, and supporting sales efforts.

This key role supports our executive team, sales department, and client services, providing administrative assistance, customer interaction, CRM management, lead and transaction management, and pipeline coordination.

Key Responsibilities:

  • Appointment Scheduling & Management: Set appointments for sales team, manage scheduling conflicts, and coordinate calendars.
  • Inbound Communication: Professionally handle inbound phone calls and emails, addressing client inquiries and routing requests appropriately.
  • Client Support: Respond promptly and effectively to client support emails, ensuring customer satisfaction and timely resolution of issues.
  • CRM Management: Regularly clean, update, and organize lead and client information within our CRM system, ensuring data accuracy and proper lead routing.
  • Lead Management: Oversee and facilitate the flow of leads from initial inquiry to sales team assignment, including tracking lead sources, managing follow-ups, and maintaining clear documentation of interactions and status updates.
  • Transaction Management: Assist in managing real estate transactions, including preparation and coordination of documentation, tracking transaction milestones, and ensuring timely communication with all involved parties (clients, brokers, vendors).
  • Executive Team Support: Assist executive team with managing and updating sales pipelines, generating status reports, and ensuring efficient information flow.
  • General Administrative Tasks: Assist in the preparation of reports, presentations, and internal documents; support general office operations as required.

Qualifications:

  • Prior administrative or client service experience preferred.
  • Experience with transaction management or real estate coordination highly desirable.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Proficiency in CRM platforms and Microsoft Office (Word, Excel, Outlook).
  • Ability to manage multiple tasks efficiently and meet deadlines.
  • Comfortable interacting with clients via phone and email.
  • Ability to work independently and in an office environment.
  • Bachelor's degree in Business Administration or related field is a plus.

Pay Terms

  • $30-$40/hr + bonus

Location: This position is based full-time in our downtown La Mesa, CA office.
