This role is essential to maintaining a welcoming office environment and supporting our advisors and staff with administrative tasks.
Role Description
This is a part-time onsite role for an Administrative Assistant to one our senior advisors.
The role will be responsible for:
Client Service:
· Manage appointment scheduling and client reminders.
Administrative Support:
· Assist in preparing documents, reports, and correspondence.
· Some data entry
Office Coordination:
· Assist with meeting preparations, which may include scheduling and materials setup.
· Support advisors and staff with special projects and operational tasks as needed.
Qualifications & Requirements
· Prior experience in an administrative, receptionist, or customer service role (preferably in a financial services or professional office setting).
· Excellent communication, phone etiquette and interpersonal skills.
· Strong organizational skills and attention to detail.
· Ability to prioritize tasks efficiently
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new systems.
· Ability to handle sensitive information with discretion and confidentiality.
· Must be able to pass a background check and fingerprinting.
· High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Work Environment
· This position is 100% in-office at our Rockford, IL location.
· 20 hours per week.
